Job Summary

A Store Keeper is responsible for receiving, storing, issuing, and maintaining construction materials, tools, equipment, and consumables in an organized and controlled manner to support uninterrupted project operations.

The role ensures proper inventory management, accurate stock records, material traceability, and compliance with company procedures while minimizing material loss, damage, and wastage.

Typically reports to the Store Manager, Procurement Manager, or Project Manager.

Job Description

The Store Keeper manages daily store operations including material receipt, stock arrangement, issuance, inventory tracking, and documentation control. The role coordinates closely with procurement, site engineers, and logistics teams to ensure materials are available as per project requirements.

This role requires strong organizational skills, inventory control knowledge, material identification ability, and familiarity with construction site operations and ERP systems.

Core Responsibilities

1. Material Receiving & Inspection

  • Receive materials, tools, and equipment delivered to the site/store
  • Verify delivered quantities against purchase orders and delivery notes
  • Inspect materials for damages, shortages, or specification mismatches
  • Coordinate with QA/QC and Site Engineers for material verification when required
  • Report discrepancies or damaged materials immediately

2. Inventory & Stock Management

  • Maintain organized storage and proper material identification
  • Update stock records accurately for all incoming and outgoing materials
  • Monitor stock levels and notify management about shortages or critical items
  • Maintain minimum and maximum stock levels for consumables
  • Prevent material deterioration, loss, theft, or misuse

3. Material Issuance & Control

  • Issue materials only against approved Material Request Forms (MRFs)
  • Ensure proper documentation for all material issuance transactions
  • Track returnable tools and equipment
  • Monitor material consumption and usage patterns
  • Ensure FIFO (First In First Out) practices where applicable

4. Documentation & ERP System Management

  • Maintain accurate stock registers and inventory records
  • Update ERP system (Odoo/SAP/etc.) for all material transactions
  • Maintain records for:
    • GRNs (Goods Receipt Notes)
    • Material Issue Vouchers
    • Delivery Notes
    • Stock Transfer Forms
  • Prepare daily and monthly stock reports

5. Housekeeping & Storage Safety

  • Ensure store cleanliness and organized storage arrangement
  • Maintain proper labeling and segregation of materials
  • Ensure safe storage of hazardous or sensitive materials
  • Monitor fire safety equipment and safe access within storage areas
  • Ensure compliance with HSE requirements inside store areas

6. Coordination & Communication

  • Coordinate with Procurement Department regarding deliveries
  • Liaise with Site Engineers for material requirements
  • Coordinate with logistics and transport teams
  • Assist during internal and external stock audits
  • Communicate stock shortages or urgent requirements to management

7. Inventory Audits & Reconciliation

  • Conduct periodic stock checks and physical inventory counts
  • Support monthly inventory reconciliation activities
  • Identify stock variances and investigate discrepancies
  • Maintain traceability of high-value materials and tools
  • Support audit documentation and inventory verification

Required Skills & Competencies

  • Familiarity with ERP systems and inventory software
  • Understanding of material storage and handling practices
  • Basic computer skills (Excel, ERP systems)

  • Understanding of warehouse safety and housekeeping standards
